Valley Metro: Asset Management Systems Administrator
Summary
The Asset Management System Administrator position monitors, organizes, and maintains the Enterprise Asset Management (EAM) data system for Light Rail Vehicles, Buses, Facilities, Maintenance of Way, and related equipment. Typical duties include: Coordination with operations and maintenance staff to effectively utilize the asset management software to develop, analyze, and schedule preventive maintenance work; prepares software guidance documentation, defines user roles and permissions within the system, creating and defining front-end user access, creates reports, troubleshoots all system problems, and ensures system efficiencies through continuous improvement programs.
As a member of the Valley Metro’s Operations and Maintenance team, demonstrates the Agency’s Core Values of Whatever It Takes, Team Player and Positive Customer Care/Service in performance of daily duties.
Associate's Degree in information technology, facility management, or maintenance management or a similar field; and three (3) years of experience working with an EAM or Enterprise Resource Planning (ERP) System or Maintenance Management Systems (MMIS), or an equivalent combination of education and experience to successfully perform the essential duties listed. Trapeze experience is highly desirable.
PREFERRED QUALIFICAITONS
Understanding of maintenance activities and strategies for maintaining facilities, rolling stock, or fleets.
Knowledge of EAM or MMIS Software.
Knowledge of inventory, parts, or warehouse tracking procedures.
Experience with asset management or materials management systems and maintaining equipment and inventory data including rolling stock, facilities, non-revenue vehicles and transit systems.
Background Investigation:

Licenses and Certifications:
Valid Arizona Driver's License and the ability to maintain insurability under Valley Metro's Vehicle Insurance Policy.

Performs on-site coordination with operations and maintenance staff to effectively utilize the asset management software, Trapeze, to develop, analyze, and schedule preventive maintenance work.
Enters, updates, and troubleshoots data in the system, and monitors system performance. Provides support in maintaining system documentation, and provides training to end users.
Enters, updates and maintains user data base to include: equipment, positions, hierarchy, work groups, user securities and cost allocation.
Collects, compiles, analyses and presents data and/or findings; makes recommendations based on findings; prepares a variety of reports and/or correspondence related to the various functions of maintenance, materials and training programs.
Participates with internal work teams, information technology staff and consultants to troubleshoot issues, streamline operations, create process improvements, and documents required changes.
Prepares a variety of reports and forms, documents system defects and repairs on work orders, or designated computer programs; implements and maintains enhancements for preventive maintenance programs.
Maintains the administration of the maintenance system software including support agreements.
Ensures system efficiencies in maintenance (scheduling, component tracing, work orders, and operational statistics and maintenance standards); materials (parts catalog, warehousing, supplier lists, and inventory control) and labor costing and training.
Develops and implements procedures, and process changes required for successful data governance performance. Assist in maintaining data governance procedures.
Implements new techniques and improvements to identify problems and find solutions that improve work performance and environment.
Assists in audits to ensure standard operating procedures are followed. Extracts data for internal and external audits and reviews.
Report building for data extraction and analysis related to all aspects of system including defect and repair documentation from a work orders or designated computer programs.
Performs other duties of similar nature and level as assigned.
Knowledge of:
Computer Asset Management systems specifically Trapeze; with responsibility for performance of system administration activities;
Transit infrastructure or facilities and systems;
Functional understanding of databases and how to utilize tools for reporting;
Report preparation and presentation;
Principles and procedures of record keeping;
Training techniques;
Customer Service and technical support best practices;
Project management techniques and principles, including business process analysis and design of detailed process flows, quality assessment and assurance;
Principles and practices used in preventive maintenance planning and scheduling;
Reporting/query tools and data management tools (i.e. Tableau, SQL, and Crystal Reporting);
Computers and application software including word processing, spreadsheets, and database management;
Applicable federal, state, and local laws, codes, rules, and regulations.
Skill in:
Using Asset Management Systems - front-end work on the system;
Developing training materials, and training system users;
Strong computer skills in Microsoft Office;
Understanding, interpreting, and responding to end user requests;
Establishing and maintaining effective working relationships with other department staff, management, vendors, outside agencies and the public;
Communicating technical information to non-technical users;
Strong analytical skills and ability to understand, interpret and analyze data;
Maintaining automated stock, inventory, and warranty control records;
Strong time management, organization, and prioritizing;
Understanding, interpreting and applying rules, regulations, and agency policies and procedures.
Work is performed primarily in standard office environment. Some shop or field work occasionally required. Subject to standing, walking, bending, stooping, and lifting of objects up to 25 pounds.
