Why does the job exist?
This position exists to ensure the efficient, organized, and compliant operation of the Transit and Rail Division through comprehensive administrative, human resources, and business support. As the central point of coordination for internal processes, the Office Manager enables the division is staff to focus on programmatic and operational objectives by managing essential functions such as hiring logistics, on boarding, procurement, payroll coordination, facilities management, and financial tracking.
The role is vital in maintaining continuity, accuracy, and accountability in administrative operations, while also serving as a key liaison between division staff, Human Resources, Finance, and other administrative departments. By overseeing day-to-day support activities and ensuring timely execution of critical tasks, this position contributes directly to the overall effectiveness and mission of the Division.
How does it get done?
To serve as the Office Manager for the Transit and Rail Division office providing administrative and business support for all staff, Human Resources Liaison providing a conduit from the Hiring Managers/Supervisors to the General Office HR office by initiating the Form One LiveCycle preparation, follow thru during the hiring process, creating work orders for set up of the office area, computers, printers, email and SHARE access, Fuel PIN card, and continuing up until the new employee is on board and settled into their new position.
Additionally, this position is responsible for monitoring all supplies by preparing purchase orders, requests to order furniture, computers, and printers as needed. The Business Operations Specialist also acts at the Fixed Assets Liaison by tracking, documenting, and maintaining accurate records of the Capital and Non-Capital Assets Inventory including Surplus disposals, transfer replacement of assets. Daily tasks include assuring that vendors get paid in a timely fashion by creating Purchase Orders and Vouchers in SHARE.
Other duties include providing assistance to employees and management in payroll inquiries, employee benefits, meeting/conference registration, reimbursement for travel per diem and other areas as requested by management. Preparing work orders for the Division and follow up on ongoing issues related to the building maintenance and safety. Tracking deadlines for training and evaluations for all Division employees and communicates the deadlines to employees and their supervisors. Working extensively in SHARE for budget purposes and preparing financial documents, pays, processes, records and tracks payment vouchers on appropriate ledgers, including FTA-funded programs.

This position serves the Transit and Rail Division staff, including leadership, supervisors, and program teams, by providing essential administrative, operational, and logistical support.
